Embedding Careology from Day One – Patient Onboarding Best Practices

Any successful digital health implementation starts with onboarding — and when done well, it sets the tone for long-term engagement, better patient experience, and improved outcomes.

When patients are introduced to Careology at the right time and in the right way, uptake and engagement rise significantly. In this article, we explore how leading cancer centres are embedding Careology into routine care pathways from day one — and what your team can learn from their approaches.

We’ve worked closely with NHS Trusts and private providers to observe how successful onboarding looks in different settings. Here’s what we’ve learned.

Multiple touchpoints, shared ownership

There’s no single "right" way to onboard — but there are several proven approaches:

  • Introduce Careology during pre-treatment clinics: CNS-led onboarding, alongside routine symptom management advice, helps patients understand the app’s value early—for both themselves and the care team.

  • Reinforce at first treatment: Chemo nurses have found it effective to prompt app downloads during the first treatment session, particularly for patients who felt overwhelmed during the initial clinic.

  • Leverage admin support: Administrative teams or healthcare assistants can efficiently support onboarding by sending Careology invitations via the dashboard shortly after pre-treatment clinics.

  • Involve oncology pharmacists where possible: When capacity allows, pharmacists can enhance setup by pre-loading medication reminders, streamlining the in-app experience for patients.

  • Follow up communications: Where possible, ensure the patient receives an outbound follow-up based on what they’re logging so they see early in their treatment that the information they log is being used to help them when they’re at home.
